Privacy Policy

Who this policy covers

This policy applies to two groups: the contractors and their team members who use RehashHero (our “customers”), and the homeowners those contractors follow up with through RehashHero (“end customers”).

For end-customer information, the contractor is the controller of that data, and RehashHero acts as a service provider/processor that handles it on the contractor's behalf and under the contractor's instructions.

Information we collect

Account and business information: name, email, phone number, company, role, and login credentials when a contractor creates an account.

End-customer information: contact details (name, address, phone, email), appointment and estimate details, and dispositions that a contractor enters or imports so RehashHero can run follow-up on their behalf.

Communications content: the SMS, email, and voice conversations RehashHero sends and receives on a contractor's behalf, including AI voice-call recordings and transcripts where that feature is enabled.

Usage and device data: log data, IP address, browser type, and how the application is used, collected through standard cookies and similar technologies.

How we use information

To provide, operate, secure, and improve the RehashHero service, including generating and sending the follow-up messages and calls a contractor configures.

To authenticate users, prevent abuse, and provide support.

To maintain compliance and audit records, such as consent records and contact logs.

To communicate with our customers about their account and the service.

Text messaging (SMS) and consent

RehashHero sends text messages on behalf of contractors only where the consent required by law has been captured. Message frequency varies, and message and data rates may apply.

Recipients can opt out at any time by replying STOP, and can reply HELP for help. Opt-outs are processed immediately and honored across the contractor's account.

We do not sell personal information. Mobile opt-in information and consent are never shared with third parties for their own marketing purposes.

AI voice calls

Where voice follow-up is enabled, calls may be placed by an AI agent. Calls disclose that the caller is an AI as required by applicable law, and may be recorded and transcribed for quality, training, and record-keeping. Recording practices follow applicable federal and state law.

How we share information

With service providers that help us run the platform — for example telephony (Twilio), hosting and database (Supabase, Vercel), and AI model providers — under agreements that limit their use of the data to providing services to us.

With the contractor whose account the data belongs to.

For legal reasons, to comply with law or to protect rights, safety, and security.

In a business transfer, such as a merger, acquisition, or sale of assets.

We do not sell personal information.

Data retention

We retain information for as long as needed to provide the service, comply with legal obligations (including telephony and consent record-keeping), resolve disputes, and enforce our agreements. Contractors can request deletion of end-customer data they control.

Security

We use administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing. End customers should direct requests to the contractor that collected their information; we will assist that contractor as its service provider.

Children's privacy

RehashHero is a business tool that is not directed to children, and we do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new “last updated” date.
